          Minutes from Most Recent SEA Website Committee Roundtable Meetings

          Friday, June 1, 2012 7:00 am – 8:00 am

          1. Updates
            1. John noted that our committee was fairly active with pre-roundtable meetings via phone conference
            2. Increased Flipcam use successful, will continue to integrate this technique
            3. We posted the first online resentations
              1. “Social Media” by Viji Kurup
              2. “Professionalism in Medical Education” by John Mitchell
              3. “Distance Learning” by Swapna Chaundhri posting June
              4. Marek has volunteered to present a talk
            4. Platform developed and implemented for Simulator committee Wiki
            5. Restructured “latest news functionality” to make it easier to see what is new
            6. Educator portfolio link for faculty development committee
          2. Action Items/comments at the current meeting:
            1. We have the Flipcams and Swarpna and Alice have volunteered to capture some shorts. John might try to capture some comments from the poster presenters.
            2. Video taping lectures
              1. John met with the AV guys and they are fully on board to help us. They have given John a special table where he can directly input the audio into his computer and they will give him copies of the lectures (from the presenters who gave us permission). We also plan to Flipcam the talk to help with the postprocessing.
              2. A question regarding copyright was brought up but the general thought was that Nicole specifically has the presenters sign ‘consent’ to be videotaped, etc and this was probably ok as long as the presenters have given us the ok as well.
            3. Alice noted that the web membership renewal was down at times and made the process cumbersome.
          3. Paula notes that SOAP posted the Sol Schneider talk (open access to all, not just members only) and they had a bunch of hits from third world countries
          4. Brainstorming
            1. CME: John notes that although we have posted videos, the board doesn’t seem to be interested in pursuing the CME part at the moment
            2. There was a discussion that SEA needs to find something that is marketable. (ie the SCA sells their echo workshops/videos)
              1. Perhaps we could talk to the Milestones committee and try to translate what is going to happen. Paula will try to get a hold of Mark Warner and have him give us a comment. I will try to see if Deb Culley will be willing to provide some insight as well.
              2. Perhaps we could sell something/someway to centralize curriculum:
                • Basic science
                • Professionalism
                • Podcast an instructional section on how to do a podcast Basic and advanced parts-->Maybe we need to podcast Paula?
              3. Website committee can send a template asking
                • A little summary about what each committee is about
                • What are you working on?
                • What educational materials do you have?
                • Maybe we’ll build a template that is general enough
                • What are you doing now that you didn’t think you were doing ten years ago?

          1. Updates
            1. Swarpna and Alice used flip cams to get candid shorts from members/ speakers/ workshop moderators
            2. John is downloading the audio feed from lecturers who have given us permission to tape their talks. We will do some post processing (combining the audio feed to the slides). We used the flip cam to tape the lecture to give us a visual guide for our post-processing.
              1. Susan suggested that we could get a 2 min video of the lecturer to showcase their talk.
          2. Requests from other committees
            1. Global Outreach Committee (Viji)
              1. They would like to post a bunch of websites that will be useful for residents/ educators interested in global outreach
              2. They are interested in following former HVO fellows and finding out where they went and whether they are still involved with global outreach
              3. They plan to write an article on how to set up an international rotation
              4. They will forward us the list of HVO travel recipients for 2012 for us to post on the web
            2. Simulation Committee (Andres)
              1. The simulation committee is planning a preconference simulation session. They wanted to post some material regarding the preconference simulation session.
              2. There was a discussion lead by Susan regarding how meaningful this material (pre-knowledge content) would be to the participants of the preconference session. She thought that most people do not look at the material until the day of for the most part. However, after a clarification that the preconference simulation session would be offered to attendees who paid additional fees, she changed her mind and thought that these specific attendees may have more motivation to view the material in advance.
              3. The sim committee would like to discuss how to set up the preconference. We kindly reminded them that they have the simulation committee specific wiki and they can also create a feed on the simulation forum in the SEA members only community forum page
              4. Annette noted that John had spoken with Chris Gallagher who has agreed to allow us to post brief ‘shorts’ on simulation. Chris will videotape himself and send these clips. We may need to remind him of his commitment as he already suggested that we may not receive them in a timely manner.
              5. As a wish list, Susan suggested that it would be nice to maybe have a podcast of 3 different people showing how they debrief (maybe have examples of good, right and wrong debriefing)
              6. Other wish lists for podcasts was “how to get your sim center MOCA certified” and “role of simulation in CA-1 residents.”
              7. Andres noted that Christine Park (chair designee) would like to de-clutter the simulation committee webpage.
              8. There was some discussion as to whether SEA would house the video but the general consensus was that we should provide links and have the video housed on vimeo/youtube.
              9. Paula and Swapna? Attended Larry Chu et al.’s workshop. They found that youtube allows more than 15 minute clips and they also allow URL tags so it is easy to jump to a specific topic. This may be something to look into.

          3. Brainstorming for future activities of the Website Committee
            1. Susan and Christina noted that they were frustrated that our SEA syllabus required a password every time they wanted to access the syllabus. They noted as well as others that usually, the initial retrieval of a syllabus may be password protected but if the document is saved on a personal computer, the password is no longer necessary. They suggested that we should post a correct (downloadable) syllabus or have Nicole email a downloadable syllabus to the attendees.
              1. Jason noted that this was probably caused by password protecting at the wrong level and that this should be an easy fix
            2. Jason asked the group if we would be interested in attending meetings where a twitter feed would be posted on one side of the room? This would seem to be especially helpful if the moderator could read the twitter feeds and direct the discussion to what the audience seems to be interested in or even interject questions/comments to the speakers that the audience is puzzled about certain things or would like more explanation, etc etc.
              1. He suggested we should make a SEA twitter account-->We may want to open a SEA twitter account
              2. He described twitter briefly to our committee and answered some questions that came up. He notes that twitter feeds are permanent even though it may be sometimes more cumbersome to find old posts.
              3. Paula affirmed that originally she was averse to twitter but now has found that the 140 character limit is actually and advantage and an easy way to communicate
              4. Additionally, twitter would be a way to link people to specific sites/ twitter in between sessions (discussions of things that are going on)
              5. Attendees can post twitter comments at a lecture ---“hey, this is what I’m learning at this session…etc, etc”
              6. Jason attended an emergency medicine conference at Mt. Sinai where 60 people were in the audience and he said it was an interesting and educational session
              7. Jason also noted that twitter can be used as an audience response system (real time voting) via cell phones
              8. I searched for some quick info regarding using twitter as an audience response system. They are noted below:

              9. There was a suggestion that we could send “Highlights to the meeting Day 1: this is what happened (app)” etc as an app. Apparently the ASA did this and people seemed to like this. This may also be a way to get people who could not attend the meeting, get engaged or aware of the meeting.
            3. Susan is interested in creating our own SEA expert peer review, open access portal (similar to meded portal) where scholarly content could receive a SEA stamp of certification. If this were to happen, the review committee would probably come from Franklin’s committee. Not sure we want to re-invent the wheel...but...
              1. Marek noted that he would be spear heading an online newsletter and some of the material could be posted there.
            4. Paula and other members of the website committee noted that we really need to make our products accessible to all people who visit our site and not just to members only.
              1. For instance, CME video should be open access but the CME portion (test/ getting credit) should be available to only those who paid for the CME
              2. Paula talked to Larry Chu (AIM) and disclosed that he got Sol Sneider to post his special talk at SOAP under the condition that it would be accessible to all and not just to members.
              3. We may need to approach the board once more that we need to make the website accessible as most people will just find another site or replacement and become disinterested in visiting our website.
            5. Paula commented to Susan that she thought the Medical College of Wisconsin promotion criteria was unique and asked her if she knew if we could post this on our site. Susan said she would look into this.
            6. Susan also noted that Deb Simpson (she was the moderator of a session who refused to be taped) would probably help us if we needed insight regarding website curriculum. Susan thought Deb didn’t want us to tape that session because it was interactive and would not translate that well.
